2. Scope and acceptance
These terms govern all bookings, memberships, purchases and participation in sessions, events, courses and programmes provided by Plug In ApS, whether physical or online, and all use of pluginheatclub.com and the Plugin app.
By booking, purchasing, attending or creating an account, you accept these terms.
We may update these terms. The current version is always published at pluginheatclub.com with its effective date. Changes take effect when posted, with two exceptions:
- a change never applies to a booking you have already paid for, and
- a change that materially affects an active membership will be notified to you by email at least 30 days before it takes effect, and you may cancel your membership before it does.
Our Privacy and Cookie Policy forms part of these terms.
3. Booking and payment
- Accepted payment methods: Visa, Visa Electron, Mastercard, Maestro, MobilePay, Apple Pay and Google Pay.
- Timing: payment is charged at the time of booking or purchase, unless stated otherwise at checkout.
- Currency and VAT: all prices are in Danish kroner (DKK) and include VAT. Business bookings made against a CVR number may be quoted excluding VAT, which will be stated clearly.
- Confirmation: on a successful booking you receive a confirmation email and a receipt. If it does not arrive, check your spam folder and then contact us.
- Changes: changes to a session or event are communicated by email, text message or in-app notification.
- Errors: we may correct obvious pricing and typographical errors and cancel affected bookings, refunding you in full. We will tell you before we do.
- Price changes: prices may change for future bookings without notice. A price change never affects a booking you have already paid for, or the price of a membership term already begun.
4. Memberships
- Membership tiers are Orange, Silver and Black. Current prices and what each tier includes are published at pluginheatclub.com and in the app.
- Memberships run on a rolling monthly basis from the date you sign up and renew automatically on the same date each month until you cancel. There is no minimum commitment period.
- Payment is taken automatically on each renewal date using the payment method on your account. Keep it up to date. If a payment fails we will retry, and we may suspend access until it succeeds.
- Introductory pricing applies for the stated introductory period only. After that, the standard price applies. We will tell you before the change takes effect. The introductory offer can be used once, on one membership.
- You can cancel at any time in the app or by emailing connect@pluginheatclub.com. Cancellation takes effect at the end of your current paid month and you keep access until then. We do not refund part-months.
- Freezing: you are welcome to freeze or pause your membership by emailing connect@pluginheatclub.com.
- Unused credits: tickets reset at the end of each month and do not carry over.
- We may change membership prices or benefits on 30 days’ notice by email. If you do not accept a change, cancel before it takes effect.
5. Class packs, clips and gift cards
- Clips and packs are valid for 365 days from the date of purchase.
- Gift cards are valid for at least three years from the date of purchase, in line with Danish law.
- Gift cards cannot be exchanged for cash, in whole or in part.
- Clips, packs and gift cards are personal to you and may not be resold or transferred for payment.
6. Right of withdrawal
Under the Danish Consumer Contracts Act (forbrugeraftaleloven) you normally have 14 days to withdraw from a purchase made at a distance. Three different rules apply to what we sell.
Sessions, classes and events booked for a specific date
These are leisure services provided on a set date, and they are exempt from the 14-day right of withdrawal under § 18(2)(12) of the Act. Our own cancellation terms in section 7 apply instead, and they are more generous than the law requires.
Gift cards, clips and packs not yet booked to a session
These carry the full 14-day right of withdrawal from the date of purchase, as long as they have not been used. To withdraw, email connect@pluginheatclub.com within 14 days. We refund within 14 days of receiving your notice, to the original payment method.
Online courses and digital content
You have 14 days to withdraw, unless you have asked us to begin delivery within that period and have expressly acknowledged that you lose the right of withdrawal once delivery begins. We ask for that acknowledgement at checkout.
7. Cancellation, changes and refunds
Sessions and classes (75 minutes)
- Cancel more than 8 hours before the start time and your clip or credit returns to your account unused. There is no cash refund.
- Cancel less than 8 hours before the start time, or do not turn up, and the clip or credit is forfeited.
Private events and corporate bookings
- More than 30 days before the event: no charge.
- Between 14 and 30 days before: 50% of the agreed fee.
- Less than 14 days before: 100% of the agreed fee.
Refunds
Refunds we approve are processed within 10 banking days, to the original payment method.
8. Private, corporate and business events
- More than 30 days before the event: No cancellation fee.
- Between 14 and 30 days before the event: A cancellation fee of 50% of the total price applies.
- Less than 14 days before the event: Full payment is required.
Payment and reservation policy
- For bookings made more than 30 days before the event, the invoice must be paid no later than 30 days before the event date.
- For bookings made between 7 and 30 days before the event, the invoice must be paid no later than 7 days before the event date.
- For bookings made less than 7 days before the event, payment must be made immediately by bank transfer.
Payment secures your reservation. If payment is not received by the stated deadline, we reserve the right to cancel the reservation and release the time slot to other guests.
Cancellation policy
- More than 30 days before the event: No cancellation fee.
- Between 14 and 30 days before the event: A cancellation fee of 50% of the total price applies.
- Less than 14 days before the event: Full payment is required.
Alcohol, smoking and vaping policy
Plugin Heat Club is a completely alcohol-, smoke- and vape-free environment. Alcohol, smoking and vaping are therefore not permitted anywhere at the venue.
9. Online courses and digital content
- Access is for your personal use only. Sharing login credentials or distributing content is not permitted.
- Recording, screenshotting or copying course content is not permitted without our prior written consent.
- Withdrawal rights are set out in section 6.
10. Offers and promotions
Promotions, discounts and special offers are limited to the terms stated at the time of the offer. Attempting to claim or use an offer beyond what is clearly stated is misuse.
Where we believe an offer has been misused, we may suspend or terminate the membership, subscription or access concerned, without refund. Except in cases of serious or repeated misuse, we will tell you what we believe has happened and give you a reasonable opportunity to respond before we do.
11. Health, safety and participation at your own risk
Heat, sauna and cold water exposure place real demands on the body. Participation is voluntary and at your own risk.
Do not participate without first speaking to a doctor if you are pregnant, or if you have a heart or circulatory condition, high or low blood pressure, epilepsy, or any condition or medication affecting your circulation, blood pressure or tolerance of heat and cold.
By booking and attending, you confirm that:
- you consider yourself fit to participate,
- you have consulted a doctor if you have any pre-existing condition, and
- you participate voluntarily and accept the risks involved.
Tell your facilitator straight away if you feel unwell at any point. Leave the heat or the water whenever you need to - there is no expectation that you stay in.
Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot lawfully be excluded under Danish law.
12. Alcohol and other substances
For the safety of everyone, attending a session under the influence of alcohol, drugs or any other intoxicating substance is prohibited. This includes arriving visibly impaired or under the residual effects of such substances.
We may deny entry or ask anyone to leave if we believe they are under the influence. No refund is issued in these cases.
Your presence at Plugin should be intentional, clear and safe - for you and for the community around you.
13. Conduct and right to refuse service
We may refuse or withdraw service from anyone behaving disrespectfully or inappropriately towards guests, facilitators or staff, or failing to follow the house rules or a facilitator’s safety instructions. No refund is issued where entry is refused or a guest is asked to leave for these reasons.
14. Photography, filming and recording
Guests may not photograph, film or record in the zones without our permission, out of respect for everyone’s privacy.
We do not film or photograph guests during normal sessions. Where we are capturing content, we say so in the session description, in your booking confirmation and again in the room before we start, and you can ask to be kept out of shot at any point. How we handle images is set out in our Privacy and Cookie Policy.
15. Intellectual property
All course materials, content, techniques, frameworks, branding and written material are the exclusive intellectual property of Plug In ApS.
We may pursue legal action, including compensation and revocation of access, for copyright infringement or misuse of our material.
16. Facilitator certification
Certification as a Plugin facilitator requires completing the full certification process as set out by Plug In ApS. Completing the Fundamentals course alone does not grant facilitator status, and does not permit anyone to describe themselves as a Plugin facilitator or to teach Plugin sessions.
17. Changes, substitutions and force majeure
- Substitution: if a named facilitator becomes unavailable, we will provide a suitable replacement or reschedule the session.
- Force majeure: sessions and events may be cancelled because of illness, epidemics, government restrictions, utility failures, emergencies or other circumstances beyond our reasonable control.
- If we cancel: we will notify you as soon as we can and offer an alternative date or a credit. If no suitable alternative is available, you receive a full refund.
18. Age
Participants must be at least 16 years old. Anyone under 18 must have the consent of a parent or guardian, and the booking must be made and paid for by that parent or guardian, who accepts these terms on the young person’s behalf.
19. Liability
- We are not liable for website or app disruptions, power failures, or unauthorised access to personal information, except where caused by our negligence or wilful misconduct, or where liability cannot be excluded under data protection law.
- We are not liable for the performance of third-party providers, including our booking platform and payment processor, beyond our own responsibilities to you.
- Section 11 applies to personal injury. Nothing in this section limits liability that cannot lawfully be limited.
20. Property, damage and lost items
- You are responsible for damage you cause to our property or to the premises, and we may seek compensation.
- We are not responsible for personal items lost, forgotten or left behind. Unclaimed items are donated after four weeks.
21. Third-party services
Our booking, payment and website services are provided through third parties, currently including Mariana Tek (Xplor) for booking and memberships, Stripe for payment processing and Shopify for our website and online store. We are not responsible for the performance of these providers, although we will always help you resolve an issue that arises through them.
22. Data protection
We process personal data in accordance with the GDPR and Danish data protection law. Our Privacy and Cookie Policy explains what we collect, why, who we share it with, how long we keep it and what rights you have. It is published at pluginheatclub.com and forms part of these terms.
23. Complaints and disputes
If something has gone wrong, contact us first at connect@pluginheatclub.com and we will do our best to resolve it.
If we cannot reach a resolution, you may take the complaint to the Danish consumer complaints system:
- Center for Klageløsning, Nævnenes Hus, Toldboden 2, 8800 Viborg - naevneneshus.dk
If you live in another EU country, the European Consumer Centre Denmark can help you: consumereurope.dk.
24. Governing law and jurisdiction
These terms are governed by Danish law, and disputes are settled by the Danish courts. If you are a consumer resident in another EU or EEA country, this does not deprive you of the protection of the mandatory rules of your own country, or of your right to bring proceedings there.
